Munshi ("we", "us", "our") is operated by Adhia Technologies. This Privacy Policy explains how we collect, use, store, and protect information when you use Munshi via WhatsApp, Discord, or our web dashboard at munshi.app.

By using Munshi, you agree to the practices described below. If you disagree, please stop using the service.

1. Information We Collect

a) Account Information

  • Email address (at signup)
  • Full name (optional)
  • Phone number (for WhatsApp integration)
  • Discord user ID (if you link Discord)

b) Message Content

  • Voice notes you send to Munshi (audio is transcribed, then the audio file is deleted within 24 hours)
  • Text messages you send to Munshi
  • Images and PDFs you share with Munshi (processed for OCR/analysis, then stored securely)

c) Derived Data

  • Transcriptions of your voice notes
  • AI-generated classifications (business tags, categories)
  • Extracted facts (prices, delivery dates, financial amounts)
  • AI-generated summaries and reports

d) Usage Data

  • Minutes of voice transcription used
  • Feature usage patterns (for improving the service)
  • Timestamp and channel of each interaction

2. How We Use Your Information

  • Core service delivery: transcribing, classifying, storing, and searching your notes
  • AI-powered features: generating summaries, extracting financial data, answering your questions from your history
  • Reminders: scheduling and delivering reminders you set
  • Billing: tracking usage against your subscription tier
  • Service improvement: fixing bugs, improving transcription accuracy (we may use anonymized, aggregated data)
  • Communication: sending daily summaries, nudges, and critical account notifications

3. Third-Party Services

We use the following third-party processors:

  • OpenAI — for voice transcription (Whisper), text classification, embeddings, and AI analysis. Your message content is sent to OpenAI for processing. OpenAI's API data is not used for training per their business terms.
  • Supabase — database hosting and authentication (hosted in AWS, data at rest is encrypted)
  • Meta (WhatsApp Cloud API) — for receiving and sending WhatsApp messages
  • Discord — for receiving and sending Discord messages
  • Vercel — hosts our web dashboard
  • Render — hosts our bot server
  • PayPro — payment processing for subscriptions

We do not sell your data to any third party. Data shared with processors above is strictly for providing the service.

4. Data Storage and Security

  • All data is stored in Supabase (PostgreSQL) with row-level security policies
  • Data is encrypted in transit (TLS) and at rest
  • Voice audio files are deleted after transcription (within 24 hours)
  • Your data is isolated from other users via database-level access controls
  • We use service-role keys only on our backend servers, never exposed to clients

5. Data Retention

  • Active accounts: your data is retained as long as your account is active
  • Deleted accounts: we delete all your data within 30 days of account deletion
  • Cancelled subscriptions: your data is retained for 90 days after cancellation, then deleted
  • Voice audio: raw audio files are deleted within 24 hours of transcription
  • Old reminders: delivered or cancelled reminders are purged after 30 days

6. Your Rights

You have the right to:

  • Access your data (visible in the dashboard at any time)
  • Export your data (CSV export available for transactions)
  • Delete individual entries, documents, or your entire account
  • Correct your data (edit entries in the dashboard)
  • Withdraw consent by stopping use of the service

7. Children

Munshi is not intended for users under 18 years of age. We do not knowingly collect data from minors.

8. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated effective date. If changes are material, we will notify you via your preferred channel (WhatsApp or Discord).
